- Review and improve current training materials on a regular basis.
Assistance for Records Management Systems Based on SharePoint
- Offer user and technical assistance for the document management system based on SharePoint Online.
- Enhance and expedite the departments’ current file organization procedures.
- Apply compliance and retention guidelines to both recently produced and archived content.
- Create analytics reports every three months that monitor filing trends and habits.
- Address user questions and fix functional problems as soon as possible.
Evaluation and Records Disposal
- Perform evaluations of out-of-date digital content in various record kinds and Microsoft 365 platforms, including Teams and intranet sites.

- Implement records governance elements in IFC platforms in cooperation with the In-Place Records Administration team.
- Provide guidance on proper retention and clearance authorities and help departments move tangible (analog) records.
Extra Work Contributions
- Participate in team conversations about information management options, user feedback collection, and system improvements.
- Participate actively in the strategic projects and everyday activities overseen by the ITSAR (Information and Technology Solutions – Archives and Records) team.
Qualifications Needed
- A minimum of two years of relevant work experience and a bachelor’s or master’s degree in administration of records, information science, archival studies, or a similar discipline are prerequisites; an appropriate combination of education and experience may also be accepted.
- strong practical understanding of the assessment, retention, and disposal procedures that are part of the records lifecycle.
- familiarity with Microsoft 365 suite or similar platforms’ records governance systems.
- It is beneficial to be familiar with Microsoft Power Automate and have the ability to create unique workflows on Microsoft 365.
